Workspaces are the foundation of Beel's multi-tenant architecture. Each workspace is a completely isolated environment with its own data, settings, and billing.
Personal vs Team Workspaces
Personal Workspace
Every user gets a personal workspace automatically. Use it for individual invoice management or freelancer expenses.
Team Workspaces
Create team workspaces for your company, department, or client. Team workspaces support multiple members with role-based access.
Workspace Isolation
Each workspace is completely separate:
- Data — Invoices, bank statements, and reconciliations are scoped to the workspace
- Gmail connections — Each workspace manages its own email integrations
- Categories & rules — Custom categories and AI rules are workspace-specific
- Company profile — Separate legal name, tax ID, address, and currency
- Billing — Independent subscription per workspace
- Analytics — Dashboard metrics are scoped to the active workspace
There is no cross-workspace data visibility — even for workspace owners.
Account Settings
Each workspace includes:
- Account name — Your workspace identifier
- Account slug — Clean URL for accessing the workspace
- Account picture — Visual identifier in the workspace switcher
Switching Workspaces
Use the account switcher in the navigation to move between workspaces instantly. Your role and permissions are specific to each workspace.
Company Profile
Each workspace maintains its own company profile:
- Company Name — Legal name as it appears on invoices
- Tax ID / VAT Number — Used for invoice matching
- Company Address — Helps match invoices by address
- Preferred Currency — Default for dashboard and analytics
This information helps Beel's AI accurately identify invoices relevant to your business.
Best Practices
One Workspace Per Entity
Create separate workspaces for each company or subsidiary. Don't mix different legal entities.
Shared Team Members
The same user can belong to multiple workspaces with different roles in each. A CFO might be an Owner in one workspace and an Auditor in another.
Naming Convention
Use clear, descriptive names: "Acme Corp", "Acme Corp - EU Division", "Personal Expenses". This helps when switching between workspaces.
