Quick Start

Step-by-step guide to set up your account and extract your first invoices.

Follow these steps to get Beel working for you.

1. Create Your Account

Sign up at getbeel.com:

  • Google — fastest, one click
  • Email & password — verify your email and you're in

2. Create Your Workspace

Name your workspace after your company. This is where all your invoices, settings, and team members live. You can create multiple workspaces if you manage several businesses.

3. Connect Gmail

Go to Settings > Email Connections and click Connect Gmail.

  • Beel uses Google's official OAuth — we never see your password
  • Read-only access to your emails
  • Connect as many Gmail accounts as you need (billing@, finance@, etc.)
  • You can disconnect anytime

4. Set Up Your Company Profile

Go to Settings > Company Profile and fill in:

  • Company name — as it appears on your invoices
  • Tax ID / VAT — helps the AI match invoices to you
  • Preferred currency — for dashboard totals and charts

This helps the AI identify which invoices belong to your company.

5. Run Your First Scan

From the Dashboard, click Scan Now:

  1. Pick a date range (start with Last 30 Days)
  2. Hit Start Scan
  3. Watch as Beel finds invoices in your inbox

You'll see real-time progress — emails found, invoices extracted, items skipped.

6. Review Your Invoices

Go to Invoices to see everything Beel found:

  • Click any invoice to see the original PDF next to the extracted data
  • Check vendor names, amounts, dates, line items
  • Verify correct invoices or Reject non-invoices
  • Edit any field if the AI missed something

7. Set Up Categories & AI Rules

Make Beel smarter for your business:

Categories (Settings > Categories):

  • Start with the 10 defaults or create your own
  • Add colors and icons for quick visual scanning

AI Rules (Settings > AI Rules):

  • Write plain-English rules like "Categorize AWS invoices as Cloud Infrastructure"
  • Rules apply automatically to all future scans

8. Invite Your Team

Go to Members > Invite:

  • Member — can manage invoices, run scans, full access
  • Auditor — read-only, perfect for your accountant

You're All Set

From here, Beel scans your Gmail daily and processes new invoices automatically. Check your dashboard anytime for a complete picture of your finances.
