Review workflow

How to review, approve, and manage AI-suggested transaction matches.

Getbeel suggests matches. You make the final call.

Summary Stats Bar

At the top of the review page, a stats bar gives you a real-time overview:

  • Total transactions — All transactions in the statement
  • Matched — Transactions with an AI-suggested or confirmed match
  • Unmatched — Transactions with no corresponding invoice
  • Pending review — Matches waiting for your decision
  • Approved — Matches you have confirmed
  • Rejected — Matches you have dismissed
  • Match rate % — Percentage of transactions successfully matched
  • Total debit / credit — Aggregate amounts for debit and credit transactions

Review Statuses

Each match progresses through one of three review statuses:

  • Pending — AI has suggested a match, awaiting your review
  • Approved — You have confirmed the match as correct
  • Rejected — You have dismissed the match as incorrect

Use the filtering toolbar to narrow down the transaction list:

  • Search — Find transactions by vendor name or transaction description
  • Match type — Filter by exact match, missing invoice, or missing payment
  • Review status — Show only pending, approved, or rejected items
  • Transaction type — Filter by debit, credit, transfer, fee, interest, or other

Reviewing Matches

Click any match to see a side-by-side comparison — bank transaction details next to the matched invoice, confidence score, match reasons, and amount difference.

Actions

  • Approve — Link the transaction and invoice as reconciled
  • Reject — Wrong match. Transaction returns to the unmatched pool
  • Override — Select a different invoice you know is correct

Bulk Actions

Select multiple transactions using the checkboxes, then apply an action to all of them at once:

  • Approve all — Confirm all selected matches
  • Reject all — Dismiss all selected matches
  • Clear selection — Deselect all items

This is especially useful for clearing high-confidence matches quickly.

Manual Actions for Unmatched Items

When a transaction or invoice has no match, you can resolve it manually:

  • Link to existing invoice — Search and select an invoice from your records to pair with an unmatched transaction
  • Upload new invoice — Upload a new invoice document directly and link it to the transaction
  • Create transaction for unmatched invoice — Manually create a transaction record to match against an invoice that has no corresponding bank entry

Review Notes

Add notes to any decision for audit purposes: "Bank fee — no invoice" or "Partial payment, remainder next month."

Audit Trail

Every decision is logged with reviewer name, timestamp, action taken, notes, and the original AI suggestion.

Export

After reviewing transactions, export your reconciliation data in two formats:

  • PDF reconciliation report — A formatted document with matched items, unmatched items with notes, variance analysis, full audit trail, and statement metadata
  • CSV export — A spreadsheet-friendly file containing a summary section and detailed match data for further analysis

Pagination

The transaction list supports pagination with configurable page sizes: 25, 50, or 100 items per page. Navigate between pages using the controls at the bottom of the list.

Tips

Start with high-confidence matches to clear the bulk quickly. Use bulk approve to process them in batches. Give low-confidence matches more attention. Process monthly — it's faster than quarterly.
